1. Who We Are and What This Policy Covers

Wordmuse Labs LLC (“Wordmuse,” “we,” “us,” or “our”), a Wyoming limited liability company, provides an AI-assisted platform that helps students prepare college-admissions essays and related materials (the “Service”), available at wordmuse.ai. This Privacy Policy explains what personal information we collect, why, how we use and share it, how long we keep it, and the choices and rights you (or, if you are a minor, your parent or guardian) have.

This version applies to users located in the United States. As we roll out our services, Wordmuse is available only in select regions and is not directed to or available in other regions; eligibility is confirmed when you sign up. For personal information we process about you, Wordmuse is the data controller (the “business” under U.S. state privacy laws). Our AI processing partner and our infrastructure providers act as service providers on our instructions, as described in Section 6.

2. Information We Collect

We collect the following categories of information:

Account information — name, email, date of birth / age, password (stored only as a one-way encrypted hash) — from you (or your guardian) at signup, or from Google if you use Google sign-in.
Guardian information — guardian name and contact details, and verification of the guardian relationship — from the guardian, during the consent flow.
Profile information (optional) — pronouns, grade level, graduation year, student type; academic records (GPA, SAT/ACT, AP/IB); intended major; personal-quality summaries — from you, optionally.
Essay & writing content — essays, drafts, notes and evaluations, mind maps, brainstorm projects, and conversation history with Wordmuse — from you, during use of the Service.
AI-inferred information (“Memories”) — themes, personal stories, values, and interests our AI derives from your writing, stored to provide continuity across sessions — generated by the Service from your use of it.
College application data — extracurriculars, honors, awards, intended majors, and school deadlines you enter — from you.
Usage & feedback — activity logs, session timestamps, and feedback (e.g., thumbs up/down) — automatically, and from you.
Technical data — IP address, browser and device information, approximate location (for geographic eligibility) — automatically, from your device.
Payment information — billing details, handled by our payment processor (we do not store full card numbers) — from you, when you purchase a plan.

How we create Memories. To coach you, our AI analyzes your writing to identify themes and to match it to writing archetypes that help us give you more useful, personalized feedback. The results of that analysis are stored as your Memories. Because Memories can include sensitive personal themes, we apply additional access controls to them and let you review, correct, or delete them (see Sections 8 and 9).

3. How We Use Information — and How We Don't

We use the information above to: (a) provide, operate, and personalize the Service, including generating AI feedback on your writing; (b) verify eligibility (age and region) and administer guardian consent where required; (c) communicate with you about your account and the Service; (d) maintain the security and integrity of the Service, including the content moderation described in Section 7; and (e) comply with legal obligations.

We use your essays, conversations, and Memories solely to provide and improve the coaching experience for you. We do not use your essays, conversations, or Memories to train, fine-tune, or develop any artificial-intelligence or machine-learning model, and our AI technology providers do not use your content to train their models. We do not sell your personal information, and we do not use your data for behavioral advertising directed at minors.

Separately, we may generate aggregated, de-identified insights — statistical patterns computed across many students that do not identify, and cannot reasonably be linked back to, any individual (for example, how frequently each writing archetype appears, or how archetypes correlate with application outcomes). Because these insights contain no personal information, we may retain and use them to improve and describe the Service even after your individual data is deleted.

We minimize collection to what is reasonably necessary for the Service to function.

4. Children's and Teens' Privacy

4.1 Age Requirement

In the United States, the Service is intended for users 13 and older. We do not knowingly collect personal information from anyone under 13, and we take steps to verify age at signup.

4.2 COPPA (Under 13)

The Children’s Online Privacy Protection Act (“COPPA”) governs information we collect from children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without verifiable parental consent, we will delete it promptly. If you believe a child under 13 has created an account, contact us at contact@wordmuse.ai and we will promptly delete the account and data.

4.3 Teen Users (13–17)

For users under 18, a parent or legal guardian must accept our Terms of Service on the user’s behalf before the account is activated. We do not sell teens’ personal information, we do not serve them targeted advertising, we retain their data only as long as reasonably necessary, and we maintain a written information-security program. Where applicable state law gives teens or their guardians additional privacy rights, we honor them.

4.4 Best Interests of the Child

Where we process a minor’s personal information, we take the best interests of the child into account in our design and data-handling decisions.

5. Consent and Choices

Where consent is the basis for processing — including guardian acceptance of the Terms for users under 18 — we capture it through our in-product consent flow, which records the specific choices you (or your guardian) make. You may withdraw a consent at any time; withdrawing a consent that is required for the Service to operate will suspend your ability to use the Service, while withdrawing an optional consent (such as marketing) will not.

6. How We Share Information

6.1 Service Providers

We share personal information with vendors who process it on our behalf and under our instructions, each bound by a data-processing agreement that limits their use of your data to providing services to us:

Anthropic — our AI processing partner, to generate feedback on your writing.
Supabase — database hosting and authentication.
Vercel — application hosting and infrastructure.
Stripe — payment processing (for paid plans).
Perplexity — school-research feature; the research prompt you submit (built from information you provide about your school interests) is sent to generate the response.
AssemblyAI — live speech-to-text for voice dictation in the Brainstorm room. Your browser streams audio directly to AssemblyAI using a short-lived access token we mint; the audio itself does not pass through our servers.
Resend — sends transactional emails on our behalf, including account verification, billing and guardian-approval notices, and contact-form submissions.
Upstash — backs our rate-limiting infrastructure. It sees request identifiers such as your user ID or IP address to enforce usage limits; it does not receive the content of your messages or essays.
Google — if you sign in with Google, we receive your name and email for authentication only; we do not receive your Google password or other Google account data.
Google Analytics — aggregate, site-level usage measurement (e.g., which pages are visited and how often), described further in Section 11.
GitHub — our code and version-control provider, used for our own development; GitHub does not process end-user personal information as part of delivering the Service to you.

6.2 No Sale; No Model Training

We do not sell your personal information, and we do not use your User Content to train AI models (ours or our providers’).

6.3 Legal and Safety Disclosures

We may disclose information where required by law, to protect the rights and safety of any person, or as described in our Child Safety Program — including reporting apparent child sexual abuse material to the National Center for Missing & Exploited Children (NCMEC) as legally required.

6.4 Business Transfers

If Wordmuse is involved in a merger, acquisition, or asset sale, personal information may be transferred as part of that transaction. We will require the successor to honor this Policy or provide protections at least as protective, and we will provide notice as required by law.

6.5 Where Data Is Processed

Wordmuse is based in the United States, and our service providers process data in the United States.

7. Content Moderation and Safety

To protect users, particularly minors, we apply content moderation and monitoring to interactions with the Service, consistent with our Child Safety Program and our AI provider’s usage policies. Where we have actual knowledge of apparent child sexual abuse material, we report it to NCMEC’s CyberTipline as legally required. If you disclose that you may be in crisis, the Service may surface relevant support resources to you.

8. Data Retention and Deletion

We retain your account data (such as your name, email, and login) for as long as your account is active. Your personal content— your essays, conversations, and the AI-inferred insights defined as “Memories” in Section 2, stored as “student memories” — is retained to give you continuity while you are working through your applications. If your account is inactive for 12 months, we scrub your personal content, unless you ask us to keep it or unless we are required to retain it by law or to resolve a dispute or enforce our agreements. We will notify you before your content is scrubbed and give you a chance to keep it. We do not retain children’s or teens’ personal information indefinitely.

You can also act on your data at any time, through your account settings:

Wipe your content. This permanently removes your essays, conversations, and Memories within 30 days. Your account and login remain, so you can start fresh. Anonymous, aggregate statistics that cannot identify you are not affected.

Delete your account. This closes your account and permanently deletes your personal information within 30 days, except for limited records we are legally required to keep (for example, certain transaction records, or records related to a safety report). This cannot be undone.

We remove data from our active systems within 30 days of a verified request or a scrub; backup copies age out on our normal backup cycle and are then permanently removed. This 30-day commitment is subject to limited exceptions where retention is required by law or is necessary to resolve a dispute, enforce our agreements, or maintain the safety and integrity of the Service. We may retain acceptance-outcome information (such as which schools students were admitted to) in de-identified, aggregate form, which is not personal information and is unaffected by deletion.

About “student memories.” To coach you across sessions, our AI identifies themes, values, and personal stories from your writing and stores what it derives — which can include verbatim excerpts of your own writing — so it can pick up where you left off. These memories are information about you: we treat them as your personal data, with the same access, correction, and deletion rights as the rest of your information; we scrub and delete them on the same terms described above; and we do not use them to train any AI model.

9. Your Rights

Regardless of where in the United States you are located, you may:

Access — request a copy of the personal information we hold about you (or your minor child). Where required by law, we will provide it in a portable, machine-readable format. This does not include Wordmuse’s proprietary arrangement, scoring, or linking of your content.
Correction — request correction of inaccurate personal information, including at the level of an individual Memory.
Deletion — wipe your content or delete your account, as described in Section 8, subject to legal retention exceptions.
Withdraw consent — withdraw any consent you have given, without affecting processing that already occurred.

9.1 California Residents (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it; to request access to and deletion or correction of your personal information; and to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law, and we do not use or disclose sensitive personal information beyond the purposes permitted for providing the Service. We will not discriminate against you for exercising these rights. For minors, California law prohibits selling a minor’s personal information without opt-in consent; because we do not sell personal information, this does not occur. To exercise these rights, contact us at contact@wordmuse.ai; we will verify your identity (or a guardian’s authority for a minor) before responding.

10. Security

We maintain a written information-security program with administrative, technical, and physical safeguards designed to protect personal information, including encrypted connections (HTTPS), encryption of data at rest, hashed passwords, and access controls on our database. Our service providers are contractually required to maintain their own safeguards. No system is completely secure; we will notify affected users and applicable regulators of a security incident as required by law.

11. Cookies and Tracking

We use cookies and similar technologies that are necessary for the Service to function, such as keeping you signed in.

We also use Google Analytics to understand how the website is used at an aggregate level — for example, which pages are visited and how often — so we can maintain and improve the site. Google Analytics is configured to measure overall site usage, not to build advertising profiles of individual visitors, and we do not use it to track you across other websites or apps. Google Analytics may set its own cookies (such as _ga) to distinguish sessions; see Google’s privacy policy at policies.google.com/privacy for how Google itself handles this data.

13. Changes to This Policy

We may update this Policy from time to time. If we make a material change, we will provide notice and, where required, ask you (or your guardian) to re-accept before you continue using the Service. The “Last updated” date above reflects the most recent revision.
